Organizer’s Guide

Create better events and fill booths with confidence.

A practical guide to publishing events, reviewing applications, and building a trusted organizer profile.

Overview

How organizing works

Tap a step to see what actually happens at that stage — including the admin-approval step most guides skip.

  1. Register as an organizer with your business details — your account is usable right away, no waiting period.

Listing quality

Build a strong event listing

Sellers decide whether to apply based on what’s actually on the page — here’s what to fill in.

Clear event title

Specific and searchable — sellers filter and search by title, so vague names get missed.

Complete location

Full address and venue name, plus the city for filtering.

Accurate dates and times

Start and end dates sellers can rely on when planning around other events.

Category

Matched against Popops PH’s existing categories so your event surfaces in the right filters.

Event description

What the event is, who it’s for, and what makes it worth applying to.

Booth price

Set per booth type — this is what sellers compare first.

Booth availability

How many slots each booth type has — sellers only see what’s actually open.

Booth inclusions

Table, chairs, power, or anything else bundled into the fee.

Application deadline

Give sellers a clear cutoff to plan around.

Contact information

How sellers (and Popops PH) can reach you with questions.

Expected foot traffic

An optional estimate that helps sellers gauge demand.

Indoor, outdoor, or hybrid

Sets expectations for setup, weather exposure, and equipment.

Floor plan

A real, supported upload (image or PDF) — helps sellers picture booth placement.

Visuals

Poster and image guidance

Event pages display your poster in full — Popops PH doesn’t crop it to fit, so what you upload is what sellers see.

Good

Clear and high-resolution

Legible at both full size and as a small thumbnail.

Readable date and venue

The two things sellers look for first shouldn’t require zooming in.

Accurate branding

Matches the actual event — no placeholder or outdated designs.

Correct aspect ratio

Designed to display fully without being awkwardly cropped.

No misleading information

What’s on the poster should match what’s in the listing.

Avoid

Blurry graphics

Low-resolution exports lose credibility fast.

Excessive text

A poster crammed with text is hard to scan at a glance.

Missing date or venue

The two details sellers need most, left out.

Cropped important content

Key details pushed to the edge get cut off in previews.

Unrelated stock imagery

Generic photos that don’t represent your actual event.

Duplicate poster uploads

Uploading the same image more than once adds clutter, not clarity.

Example preview

This is how a poster preview area behaves on Popops PH — the full image is shown, never cropped to fill the frame.

Setup

Booth setup and pricing

Define each booth type clearly so sellers know exactly what they’re applying for. These fields are illustrative — set your own pricing based on your event.

Process

Managing applications

Applications for your events appear in your Organizer Dashboard. Each one shows the seller’s business name, product category, message, and contact details.

You can approve or decline — sellers are notified automatically either way. Once you’ve decided, that application is locked; decisions can’t be reversed from the dashboard, so review carefully before confirming.

Trust

Organizer verification and trust

Verification is optional but builds trust with sellers deciding whether to apply. You submit your business details plus a government ID, business registration, and tax ID — an admin reviews the request, and the verified badge only appears once it’s approved.

Not every organizer is verified by default — here’s the difference sellers see:

Organizer FAQs

From Create Event, add your event’s title, location, dates, and at least one booth type. Images and a floor plan are optional but strongly recommended.

Every new event starts as pending review — Popops PH checks it before it’s visible to sellers. You’ll be notified once it’s approved.

Popops PH reviews new and edited listings before they go live. Note that editing an already-approved event resubmits it for review, so it’s temporarily offline again until it’s re-approved.

Open Applications from your Organizer Dashboard — each one shows the seller’s business name, product category, and message. Approve or decline; sellers are notified automatically.

Submit your organizer verification with your business details and required documents (government ID, business registration, tax ID). An admin reviews it, and the verified badge appears once approved.

Yes, from the same listing flow. Keep in mind that editing a live, approved event sends it back for review before it’s visible again.

Reviews are shown on each event’s own page, based on that event’s ratings — there isn’t yet a single combined rating across all your events.

Reach out to Popops PH support directly — for anything involving a specific listing or application, include the event name so it’s easy to trace.
